Date: June 8, 2006
Subject: Use of Desktop Indexing Tools and Microsoft Exchange
Over the past few weeks and months the Time Inc. Messaging Engineering Team has received increased reports of Outlook clients receiving the “Outlook is requesting information from the Exchange server” dialog boxes.
After a great deal of investigation by our messaging engineers, and by our colleagues at Microsoft, it was discovered that only a handful of workstations were creating a tremendous amount of volume on the impacted Exchange servers. This increased volume was directly contributing to the performance problems being experienced by you, our customers. Further investigation into this issue revealed that each of these workstations had something in common—they were each running some desktop level search and indexing tool like Google Desktop Search, MSN Search, or Yahoo Desktop Search.
Simply shutting off these search engines on the few identified machines made a tremendous difference in Exchange server performance, and eliminated the issue for each of the impacted clients.
Given the above information, we have no choice but to formally stop these search engines from indexing e-mail and all e-mail related items--like calendars, tasks and notes. Our only option at this point in time is to put in an operational policy for all Time Inc. workstations that these search engines are NOT allowed.
We sincerely wish that a policy like this was not required, but unfortunately the continued acceptable level of performance for our Exchange environment must be maintained at all costs. We appreciate your working with us on this matter.
Thank you.

Better get used to it or get your network fixed because the next version of MS Office and Exchange are based on the network index model.
